Learn how to create your customers and assure they are paired with the policy download
It's important to add your prospects and insureds to the management system as soon as possible. This makes sure the account is available to match the carrier download in the nightly cycle, and makes it much easier for accounting to reconcile your monthly commission.
What do I add a prospect or insured?
Both a prospect or insured will pair with the nightly download, so you can create either. Additionally, the process of creating an insured or prospect is identical, with one exception. The prospect allows you to track the prospect until it is bound. The basic rule-of-thumb with electing which to create is as follows:
- Prospect: Created when you have made initial contact and are still in the quote and proposal state.
- Example: Created a quote in PL Rating, even bridged to the carrier to run reports, and sent proposal to insured. However, you are still negotiating and don't have a bind order or purchase agreement.
- Insured: Created after you have issued a policy on the carrier system, but haven't yet created a proposal in the system. In this case, you already know they are an insured, so you don't need to create a prospect for this account.
- Example: You have quoted in PL Rating, bridged to the carrier and the insured agreed to purchase. You collected payment and bound the policy directly in the carrier system. In this case, no account for this insured was created in the management system, so you should login to create an insured.
How do you create a prospect or insured?
Follow this steps to create an insured or prospect. Note, the process is the same with only one difference, you can select a "prospect" type when creating a prospect.
Follows these steps to create a prospect or insured:
Step 1: | Login to the management system and navigate to left hand menu an toggle the "Plus" (+) icon directly below the IronPoint logo. |
Step 2: | Select either the Insured or Prospect option |
Step 3: | When you reach the Insured or Prospect page, you can first search to see if you've already created this account. If you have, you can cancel this process as you will not need to add new insured or prospect when you cross-sell existing accounts. |
Step 4: | If there is no existing account, simply follow the prompts to add the prospect/insured name, address, and contact information. NOTE: matching the spelling of names and address to match the quote or carrier system will increase accuracy of the automated data matching to the nightly carrier download. |
Step 5: | After adding name, address and contact information, the select save on the bottom left of the page. |
